To the extent necessary to achieve our purposes of use, we may outsource all or part of the handling of personal data to external companies. These purposes include providing the Service, identity verification, guest information management, reservation management, inquiry handling, operating forms, using systems and cloud services, email delivery, advertising and marketing, and recruitment.

This may include outsourcing to companies that verify guests’ identity, handle check-in, and collect, check, store or manage ID documents, face images, photos, videos and other information needed for identity verification.

When outsourcing the handling of personal data, we select contractors based on the type of information, the nature of the work and the associated risks. Where necessary, we confirm or set out in contracts the handling of personal information, security, subcontracting, retention and deletion, and we provide necessary and appropriate supervision, including keeping track of how contractors handle personal data.

If a contractor subcontracts the handling of personal data to another company, we will also endeavor to ensure necessary and appropriate management according to the content and risks of the personal data.

Personal information that is no longer needed, for example because the purpose of use has been achieved, will be deleted or destroyed by appropriate means, except where we must retain it by law or have other legitimate reasons.

Guest registers and other information for which the law sets a retention period will be retained for the period required by that law.

Guest registers created under the Minpaku Act (Private Lodging Business Act), the Hotel Business Act or similar laws are, in principle, retained for three years from the date of creation. If the law requires us to retain a copy of the passport of a foreign guest who has no address in Japan, we will retain it in accordance with the relevant laws.

Face images, photos, videos, ID images and other information obtained for identity verification are retained for as long as necessary in light of legal retention obligations, identity verification, facility operations, contractual work, handling of fraud, accidents and troubles, and other purposes of use.

If we outsource the handling of this information to an external company, we will conduct necessary checks and supervision of how the contractor retains and deletes it, and manage it so that it is handled appropriately in light of laws, contracts and purposes of use.

Personal information of job applicants will also be retained for as long as necessary for recruitment activities, informing applicants of future hiring opportunities, handling disputes and other purposes of use, and then deleted or destroyed appropriately.

(6) Understanding the external environment

When handling personal data in a foreign country, we take necessary and appropriate security control measures after understanding that country’s personal information protection system and other external environment.
